Vacation and Personal Time, or VPT, is tracked in BambooHR based on your Company's VPT policies. Time away requests, approvals, balance adjustments, and historical tracking is all managed in the system. Below is an outline of how Supervisors, Payroll, and WorkforceWins administer VPT balances for every employee.
Standard Accrual Process (How it is given to Employees)
Indefinite-term Employees
- Bamboo automatically renews each Employee’s bucket of time annually based on the Company’s chosen method (first day of the calendar year or on the Employee’s original hire date).
- Bamboo automatically makes tenure-based VPT increases based on the Employee’s hire date and company VPT policies.
- Bamboo automatically manages the company’s policies around vacation time carry over.
Fixed-term Employees
- WorkforceWins manually pro-rates and sets the available time off at the outset of their term.
What Happens when a Request is made in Advance of the Dates
- The Employee requests to use time via Bamboo.
- Supervisor approves or denies the request in Bamboo and ensures that the Days used calculation is correct based on the Employee's work schedule
- The Employee is automatically informed of the decision.
- If accepted, the time is reflected in the employee's profile and the Bamboo Who's Out Calendar
Once Time is Used
- Once the date passes, the time off is automatically deducted from the Employee's time off balance in Bamboo.
Ad-hoc Changes to Time Balance
- Supervisors and Payroll use Bamboo to make manual changes to the available time off, or notifies WorkforceWins to make the change.
Pay Run Processing
- Payroll uses the time away history in Bamboo to reconcile time away questions that arise from the payroll data for the pay period.
